The Environment:  Lane Motor Museum is a 501(c)(3) automotive museum that was founded in 2002 by Jeff Lane, a life-long automotive enthusiast. The collection is mostly automobiles (about 550) but also contains bicycles, airplanes, motorcycles, and other artifacts that relate to the core collection. The collection is housed in the former 150,000 sq. ft. Sunbeam Bread factory, built in 1950. There are plans in place to improve the site and the structure of the Museum.

The Museum hosts about 15 on-site special events per year, along with attending 6-10 weekend concours in the mostly eastern U.S. The Museum has an operating budget of $2-3 million, supported by a significant endowment, 13 full-time employees, and about six part-time employees. The Museum has about 65,000 visitors per year. The Museum is an equal opportunity employer and strives to be a warm, entertaining, educational and welcoming environment for all.

This position requires in-Museum presence; this is not a position with responsibilities that can be fulfilled remotely.

Job Summary:  The director is responsible for the overall daily operations of the Museum and will supervise four direct senior-level reports. The director will also be the main face of the Museum, give tours, media interviews, and attend car shows. Budgets will also be developed in concert with key staff members and monitored by the director. Maintaining and enhancing the look, feel and integrity of the Museum is a primary task of the director. Some evening and weekend work is required.

The following duties are required of the director. This is not an all-inclusive list, and other duties may be assigned as required.

Education:  A college degree related to museum studies or business is a plus.

Work Experience:  Prior experience in a nonprofit institution, budget development, financial reporting and compliance, and management and supervision of staff. Prior museum leadership experience is a plus.

Skills and Attributes:

  • Love of vintage and collector automobiles and other conveyances, with a special affinity for unusual, one-of-a-kind vehicles, designed to bring life to an idea or advance the field of motoring.
  • Significant knowledge of the collector/vintage car landscape, community and environment on local and national levels (knowledge of international community is a plus), including broad basic knowledge of preservation and restoration.
  • Familiarity with archival and automotive restoration practices.
  • Ability to lead people and projects.
  • Knowledge of human resources procedures and regulatory requirements.
  • Excellent attention to detail.
  • General business knowledge, and knowledge of budgeting and financial reporting.
  • Ability to prioritize, multitask and organize myriad museum programs, initiatives and activities.

Salary:  Up to $150,000/year, plus benefits – 6 paid holidays/year, 20 days/year of PTO, health insurance (the Museum pays 70%; the employee pays 30%), and 401(k).

Function

Performs all bookkeeping requirements for the Museum.  Manages personnel files and employee benefits. Manages day-to-day office functions and performs various office administrative and operations projects. Contributes to the team effort, maintains confidentiality, and maintains professional and technical knowledge.

Responsibilities

  1. Performs all bookkeeping requirements for the Museum consistent with generally accepted accounting principles, which includes accounts payable, accounts receivable, cash and credit card receipt processing, general ledger, journal entries, reconciliation of bank statements, monthly financial statements, tracking cash flow, among other tasks and reports.
  1. Processes payroll data and submits to the Museum’s payroll firm, and maintains records and reports.
  1. Handles and coordinates all bank accounts and banking functions in accordance with established procedures, and monitors balances.
  1. Manages employee benefits and maintains records and reports.
  1. Maintains personnel files, records and reports. Tracks performance and wage/salary review dates and reports due dates to the Executive Director.
  1. Prepares annual budget under the direction of /Executive Director. Conducts monthly budget comparison to actual results and reports findings.
  1. Prepares and assembles information for external auditors for the annual audit.
  1. Maintains donor records, and coordinates, implements or assists with annual fund raising campaigns.
  1. Implements approved internal financial control procedures, implements approved procedures for all functions and activities with cash/credit card handling requirements. Makes recommendations to improve controls and procedures.
  1. Protects and prepares confidential or sensitive material according to established procedures and directions and/or with good judgment. Keeps business, financial and personnel information strictly confidential. Assures discreet handling of business.
  1. Maintains accounting policies and procedures manuals and systems, and recommends timely revisions and updates.
  1. Helps with administration of insurances, contracts and other similar administrative needs.
  1. Fulfills the administrative, clerical and related operational needs of the Museum, such as maintaining office equipment, postage, supplies, incoming/outgoing mail, processing correspondence, among other projects.
  1. Coordinates and/or establishes and maintains a variety of files and required records, taking into consideration the Museum’s needs and policies, and reviews systems for accessibility, completeness and compatibility with needs.
  1. Implements the Museum’s Document Retention and Destruction Policy.
  1. Conduct self always in a manner that reflects credit on the Museum and encourage others to do the same. Maintains high level of customer service with all Museum associates.
  1. Performs other duties as assigned.

Minimum Requirements

  1. Education/Experience: Degree in business or accounting with four years full charge bookkeeping experience appropriate to the job description; or high school graduate and with college accounting courses and three years of full charge bookkeeping experience appropriate to the job description.  One-year office management/clerical experience desired.
  1. Required Skills: Proficiency in Quick Books, Microsoft Excel, Word and Outlook. Strong organizational skills. Excellent verbal (clear, concise), phone, written and email communication skills. Excellent interpersonal skills. Ability to work cooperatively with others and in team environment. Professional manner under pressure.     Executive Director

    Responsibilities & Duties

    COMMUNICATION:

    • Communicate effectively with diverse audiences, including visitors, board members, volunteers, sponsors, and donors.
    • Forge and maintain relationships of trust with officers, directors, vital stakeholders/donors, and external authorities.
    • Create weekly and monthly reports for the Board re: progress against annual plan goals and longer-term strategic plan objectives.
    • Prepare for and facilitate quarterly Board meetings and Board committee meetings as necessary.

    VISITOR/MEMBER/FRIENDS DEVELOPMENT & MARKETING: 

    • Develop and execute plan to drive attendance of 22k visitors in 2024 and 50k visitors in 2025.
    • Participate in programs (i.e. Blue Star Museum, Sunflower Summer Learning Program) that increase awareness and drive museum attendance; annually evaluate program effectiveness and refine approach for future years.
    • Forge strategic alliances with local businesses, schools, and organizations to strengthen community ties and expand the museum’s reach.
    • Develop and implement a marketing plan with a focus on strategic campaigns and high impact program enhancements to attract and engage a broader audience to meet/exceed visitor attendance targets.
    • Oversee/manage development and use of marketing assets including MDCC website, social sites, content and all MDCC brand elements.

     

    EDUCATION:

    • Partner with educational institutions (i.e. KSU, USD383, etc.) to enhance engagement with the museum.
    • Develop and implement comprehensive educational programs (i.e. STEAM-Science, Technology, Engineering, Arts, and Mathematics) and bring K-12 students to visit MDCC during school hours.
    • Provide engaging instruction that facilitates learning and inspires the love of vehicles for all ages.

     

    ENHANCED VISITOR ENGAGEMENT:

    • Elevate the overall visitor experience with educational programs, community events, and interactive exhibits.
    • Implement initiatives that make the museum a dynamic and engaging space for all visitors, fostering a deeper connection with the exhibits and vehicles.

     

    DAILY OPERATIONS:

    • Effectively lead the organization, providing support and oversight of daily activities.

DESCRIPTION

The Archivist & Records Manager works alongside area managers within the Collections, Exhibits, and Education teams.  This position is ultimately responsible for the management of the makeup, development, and safekeeping of the National Corvette Museum’s (NCM) library (research center), and archival materials by following and implementing accepted archival professional standards and practices that will help the NCM strive toward its goal of American Alliance of Museum Accreditation.  This position supervises staff, directing the activities of the department under their supervision to fulfill the museum’s strategic objectives.  The Archivist & Records Manager also implements and recommends the operating policies and practices for the Library & Archives department, including ones pertaining to the acquisition, arrangement, description, and preservation processes.  This management role is responsible for balancing an interconnecting set of priorities, ranging from the digitization of the collection to keeping up to date with best practice innovation in the physical care and storage of archival collections. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Advise and create SOPs that guide significant decisions and strategic direction for the Library & Archive, and jointly implement NCM policies and activities.
  • Lead the library & archives. Supervise library and archives staff including interns and volunteers. Assist in the preparation of budgets and ensure that functions are carried out within the parameters of the budget.
  • Seek and recommend acquisitions for our archive and advise the director on issues requiring approval of the board collections committee.
  • Recommend incoming and outgoing loan requests of archival materials. Work closely with Registrars to ensure the appropriateness, safety, and condition of all loans.
  • Recommend new initiatives that fulfill the NCM’s mission and once approved, see them through to completion. Oversee other initiatives as assigned.
  • Supervise the planning, acquisition, safekeeping, and cataloging of archival records related to Corvette history while maintaining the highest standards of stewardship.
  • Provide recommendations for the collections’ growth, through acquisitions and gifts, and deaccessioning, as well as long-term planning and prioritizing for the collections team and conservation of archival items.
  • Provide reference services for both public and professional research inquiries.
  • Maintain working knowledge of, and compliance with, the highest ethical and legal standards related to organizational responsibilities, museum collections, and public accountability.
  • Plan and oversee digitization projects.
  • Assist with grant writing and reporting related to archival projects.
  • Responsibilities are not all-inclusive, additional duties may be assigned.

 

EDUCATION/EXPERIENCE

  • Bachelor’s degree in library or archival sciences, museum studies, public history, or related area of study.  Master’s degree preferred. 
  • 2 to 3 years of relevant work experience in archives or library special collections.
  • Applied knowledge of professional archival principles, practices, and procedures.
  • Experience with collections management software, PastPerfect preferred.
  • Experience in automotive museums or archives preferred. 

 

QUALIFICATIONS

  • Strong knowledge of, and commitment to, non-profit archival ethical and legal standards as well as best practices.
  • Experience in archival research and knowledge of digitization and metadata cataloging standards, as well as copyright and licensing issues in archives.
